CCCA Board of Directors Meeting Minutes 5/11/2023

INTRODUCTION: The Carriage Crossing Board Meeting was chaired by Gwen Rhett.

New Business: Financial

  • ●  Three neighbors requested payment plans for the arrears. Gheen accountants confirmed the first payments have been deposited. Total of arrears is $29,775. This includes 2023 dues that have not been paid to date. All payments are to be brought current by June 30th. Board is considering habitually late payers without contacting the BOD or Gheen accounting to be turned over for collections in July/August.

  • ●  Nationwide Insurance Claims adjuster inspected Gazebo on May 7th for April 6th hail damage. Report has not been submitted for payment/replacement.

  • ●  W9s have been sent to Cameron Law Firm and Grass Tech Lawn

  • ●  Ambers Trash -approximately $15,000 owed. Grass Tech-2 payments have been made.

  • ●  National Night Out-August 1-Budgeted: Food & Drinks $400

  • ●  SMECO $75.00 per month

  • ●  Reserve Fund 2024-money needs to be allocated/moved to the reserve fund. Dan will

    move $15,000 as soon as possible.

  • ●  The Reserve Study report has been submitted by Millerdodson. Gwen will request Miller

    Dodson representative to explain the report to the BOD. BOD will present the report

    findings in a special hybrid general meeting Saturday, July 15th.

  • ●  Website HOA dues payment platform-Due to the extra expense of the stripe payment

    platform Board is looking at venmo which is at no cost to use their services. Board has reached out to the original website developer to see if he can assist in identifying and changing the new payment platform.

    Other

  • ●  BOD concerned about the number of exterior alteration applications coming in due to the April 6th Hail damage. Vote was taken to wave applications only related to hail damage.

  • ●  BOD will solicit the neighborhood for volunteers to water the new annuals/perennials that will be planted on Monday, May 15th. Update: Glen Sanders volunteered-May 28th,

  • ●  Jesse has a 10 gallon container with a hose attached that was previously purchased for the community.

  • ●  Electrician visited the front entrance to understand the schematics of what was built. Looking for the schematics to see if we can upgrade the lighting.

  • ●  Community Yard Sale, Saturday, May 20th-Stakes will be purchased for Rt. 231 and Rt. 381. Brandy T. has been doing a great job coordinating.

  • ●  Suggested to contact HOA Attorney on how to address habitual covenant/bylaw offenders.

  • ●  Email was sent to home on 16355 Carriage Crossing in regards to removal of fallen tree. Owner has been given 30 days with a follow-up from BOD.

  • ●  Exterior alteration form has been submitted for fencing. Home is in the arrears with dues. It is suggested that BOD will not approve fencing contingent upon the home being brought current. (Do to confidentiality address is not being displayed)

  • ●  BOD as well as the General meeting will be canceled in June. Everyone will be on vacation.

  • ●  Next Board meeting on July 13th 7pm and Special Hybrid General Meeting at the Charlotte Hall Library 9:30am-11:00am. This meeting will mainly focus on the Reserve Study Report from Miller Dodson and a special vote on the first major project to tackle in 2024.
