CCCA Board of Directors Meeting Minutes 4/13/2023
Board Meeting commenced at 7:00pm
Attendance: Gwen Rhett, Travis Howard, Dan Morris, Jesse Powell, Glen Posey and Robyn Major
Topics of Discussion
Treasurer-Arrears Letters sent out April 3rd. Two property owners have reached out and requested payment plans. Board has offered that if payments are made on time and in full interest will be waived. Board has not heard back from eleven accounts in arrear to date. They were given deadlines to respond by April 18th. These accounts will be turned over to the new attorney July 1, 2023. Received revised Aging Report from Gheen Accounting. Errors were corrected. Neighbors are paying their dues. Attorney Strissel invoice was not uploaded/received in February. Treasurer is in receipt and has paid the bill of $671.64.
Vice President-Maryland Reserve Study conducted on April 11th. Travis and Gwen walked Miller Dodson representatives through the common ground areas and spoke about the future maintenance. It is noted that Carriage Crossing Community is a small community without a lot of common maintenance compared to other communities. The report should be available to us within a few weeks.
Board has a meeting with Attorney Rudy Carrico to discuss his services and what he will provide to the community. Board is also looking at Justin Cameron, Esq. Mr. Cameron may be a better fit for the HOA since he is well versed with HOA issues. Gwen has reached out to Cameron law firm for a telephonic interview.
Sandra Strissel, Attorney services will end April 30, 2023. She has already moved her business to South Carolina.
Spring Fling-concern about possible rainy weather. Will make a decision by Friday noon if the event will be postponed on Saturday.
Food Trucks-Mike's Chicken & Ribs was well received by Community. Community would like to invite his truck back-tentative schedule, Thursday, May 11th. Grizzly Mountain Grill scheduled April 19th 5pm-7:30pm.
Guest: The President has invited a SMECO representative to speak on the SMECO energy saving program for the April General Meeting per Community request to have various speakers during meetings.
Website-Please send content information to John Reinhardt. The BOD continues to encourage the community to utilize the new website. John will only add content that is approved by the Board, Sunday and Wednesdays.
Architectural Inspections-July 2023
Architectural Inspections were last performed in 2021. Dan explained how the inspection was completed and the expectations. Home Inspections will be conducted in July/2023.
Front Entrance Perennials
Front entrance perennials- Travis reported that the landscapers will be planting annuals around the first/second week in May at the front entrance. Board will be purchasing perennial drought tolerant plants. Robyn and Gwen volunteer to water the plants until well rooted. Suggestion to canvas the community for a small committee to schedule watering.
Crime Watch Kickoff
Gwen attended the Crime Watch Kickoff in LaPlata, April 12th. She met with Community Organizer, Gus Proctor as well as the Community Policing Supervisor, Sgt. Chrissy Gilroy and discussed a few issues in regards to speeding and animal control. The Crime Kickoff presented a formal presentation touching on the following topics: Largest Nationwide Issues are gun violence, mental health and substance abuse. Developments are placing a drain on public safety. “See Something-Say Something” Noise Pollution, reminded participants that just because it is a nuisance does not mean it is illegal. State Highways clears roads that are numbered. County clears roads that have names of litter. Reminder of Charles County Community Clean-up May 20th. (Carriage Crossing Community HOA is signed up)
Remember that ATVs-off road vehicles are illegal on all roads! It is a criminal violation-misdemeanor. All violators can be reported anonymously on the Charles County Sheriff non-emergency number with the following information: Names of violators, description of violators vehicle, where vehicle is being stored.
Hybrid General Meeting at the Charlotte Hall Library Postponed. Will conduct a virtual only meeting.
Post Office-Concerns about who is picking up the mail at the P.O. Box? Suggested that the Gwen speak with the Postmaster and give a list of who is authorized to pick up mail.
Company signs on Front Lawns-Pursuant to bylaws commercial signs on the lawns of homeowners are prohibited. A letter will be sent to the homes with a gentle reminder.
